(EN) How can I apply for a university card? - Virtual Secretariat
1. Introduction
The university card identifies the staff and students of the University of Valencia and grants access to various institutional services (access to facilities, digital services via the UV APP, etc.). This document integrates information on the procedures for issuing, printing, and replacing the card, including the considerations published on the official Virtual Secretariat page.
2. Types and availability
The UV offers:
Physical card: mainly for access management to UV facilities, therefore only intended for PDI/PTGAS.
Virtual card: available through the UV APP for mobile devices and also at https://secvirtual.uv.es (General tab, Card consultation option). Available to the entire university community.
Both types are linked to the person’s administrative and academic status and update automatically.
Only one university card per person is allowed. If someone has two roles (e.g., student and researcher), they must hold the card either as a student or as a researcher — but only one.
3. Who can request it?
The following groups may request printing and collection of the university card:
PTGAS
PTGAS researchers
PDI
(Students DO NOT HAVE A PHYSICAL CARD)
Retired teaching staff can only obtain a card if their status is that of Full Professor or Career Civil Servant.
4. Printing locations
Printing and collection are carried out exclusively at the following libraries:
Social Sciences Library “Gregori Maians”
Health Sciences Library “Pelegrí Casanova”
Sciences Library “Eduard Boscà”
5. Important aspects and procedures
5.1. Automatic renewal
Cards are automatically renewed as long as the person remains linked to the UV. There are no manual periodic renewal processes.
5.2. Printed date and functionality
The physical card may display an expiration date. This date does not prevent the use of previously enabled access; the card will continue to function.
Once again, note that students do not have a physical card.
5.3. Replacement due to loss, theft, or damage
In these cases, a replacement must be requested (issuing a new card that cancels the old one). The request must be made exclusively by email:

5.4. Access deactivation and activation
When a new card is issued, the old card must be deactivated and access must be activated again through the Virtual Secretariat (http://secvirtual.uv.es ).
If you have requested a new physical card, you may still use your old card for authorised access until you collect the new one at the printing locations. Afterwards, from http://secvirtual.uv.es , you must activate access for the new card.
At that moment, the only valid card will be the new one; the old one will stop working.
Access only works if a physical card has been printed.
5.5. Synchronisation delay
Once the Human Resources Service processes a new appointment, there may be a synchronisation delay before the new card becomes available for printing at the libraries.
5.6. Specific procedure for students
Students only have a virtual card, and the issuance process must always be initiated by the school’s Secretariat.
Uploading a photograph DOES NOT automatically generate the card; a request must exist.
Normally, the card is generated during enrolment, although in some cases it must be initiated by the Secretariat or by the administrative unit of other departments such as ADEIT, Nau, or specific doctoral programmes.
Frequent cases and solutions (summary)
Student without uploaded photo and without card request
Action:
Upload a photo to the profile (help: How to change my photograph in the UV profile?)
If there are issues, open a CAU ticket → Virtual Secretariat.
Card request: contact the Secretariat to create it manually if it was not generated automatically during enrolment.
Note:
If the student wants to change a previously uploaded photo, this can only be done by the Secretariat (Updating student photograph – Virtual Secretariat).
Student with uploaded photo but without card request
Action:
Contact the Secretariat to create the request manually.
Important clarification:
The Secretariat must create the request.
If no request exists, the card will never be generated.
Even if the student logs into the UV APP, the card will not appear if it does not exist.
Common error: uploading a photo DOES NOT generate the card. The photo is required, but creation depends on the request.
Student with uploaded photo and a card request in “pending photo” status
Possible causes:
Application error (photo not correctly linked).
Student did not confirm the upload.
Student is not enrolled in the current academic year (the APP shows the same message whether no photo exists or no enrolment exists).
Solution:
Access https://intranet.uv.es → “Check photograph” to try linking the photo.
If the error persists, open a ticket to Virtual Secretariat (CAU will escalate if necessary).
Student without uploaded photo but with card request
Treatment: similar to the previous case (linking or confirmation issues).
Solution:
Use “Check photograph” in the intranet.
If unresolved: upload a photo via the help guide.
If the problem continues or the photo cannot be uploaded, open a ticket for manual intervention or review by the Applications team.
6. Printing and collection schedule
Printing and collection are available from 9:00 to 14:00 and from 16:00 to 20:00 at the indicated libraries.
During special periods (Christmas, Easter, July and August), schedules may vary.
7. Practical recommendations
If requesting a replacement, always provide your full name, ID number, and reason for the request; if you are PDI, include your department and, if possible, the number of your previous card to speed up deactivation.
Use the UV APP to check your virtual card and, if necessary, report issues to the Virtual Secretariat.
