DATA PROTECTION INFORMATION FOR THE REGISTRATION PROCESS

The personal data provided in this enrollment process will be incorporated into the information systems of the University of Valencia, in order to process the enrollment application and carry out the academic and administrative management of the files in accordance with the functions and competencies conferred on universities in the Organic Law 6/2001, of December 21.

The University of Valencia, its foundations and associated entities are adapted to the LOPD and the RGPD. They have enabled a lopd@uv.es address for any information, suggestion, request for the exercise of rights and amicable resolution of disputes regarding the protection of personal data.

All this without prejudice to the right to claim before the competent control authority.

2.- Purposes and legal basis of the treatment
2.1. Mandatory treatments according to the Law.

The personal data provided in this registration process will be incorporated into the information systems of the University of Valencia, in order to process the registration application and carry out the academic and administrative management of the files in accordance with the functions and powers conferred on universities in the Organic Law 6/2001, of December 21, as well as those provided by Law 39/2015, of October 1, of the common administrative procedure of public administrations, with regard to the processing of electronic procedures.

Likewise, a photograph must be mandatorily provided. This photograph will be exclusively used for the issuance and renewal of the university student card and in those environments linked to academic management and the provision of the public service of higher education such as the virtual classroom and the virtual office. It can be changed in person at the centre where the student is enrolled.

In addition, the compulsory data communications indicated in section A of the section "4. Personal data recipients", of this document for the purposes and with the legal basis indicated therein, are foreseen.

2.2 Data processing with the consent of the enrolled person.

Data will be collected with the consent of the people enrolled in the following cases:

• Participation in the "Entre iguales" mentoring program.
• The data communications described in section B of the section "4. Personal data recipients", of this document for the purposes and with the legal basis stated therein.

3.- Origin of the data

The Universitat de València will process the data provided by the student as well as those coming from the information systems of the following public administrations:

• The data of first enrollment students will be obtained in processes of pre-registration and / or transfer of file from the Autonomous Administration with educational competences.
• Regarding registration modalities with fee reduction (numerous family, disabled, gender violence, victims of terrorism, etc.) may be obtained from the corresponding Administration in accordance with the procedures provided for virtual administration.

4.- Personal data recipients
A.-Mandatory data communications.

Within the framework of the relationship established for the enrollment formalisation, it is reported that strictly necessary data will be transferred in the following cases and for the following purposes:

A1.- Due to the provision of higher education services in accordance with Organic Law 6/2001, of December 21, data may be communicated to:

• Ministry of Education and Science, and Conselleria of Culture, Education and Science of the Generalitat Valenciana to exercise their powers.
• Other national or foreign universities in the framework of the development of the degree.
• National Agency for the Evaluation of Quality and Accreditation, national or autonomous equivalent entities and European institutions with power for the development of tasks related to the evaluation, certification and accreditation of the quality of Spanish Universities in the terms provided by law.
• Companies, foundations and entities that pursue management, promotion and completion of mandatory practices that are part of the curriculum of the degree enrolled.

A2.- For the execution of the authorised payment during the registration process:

• Financial institutions for the payment of academic fees: Banco de Santander.

A3.- For the management of situations of risks, accidents or similar in accordance with the applicable legislation:

• Insurance company holder of school insurance management.
• Health services in case of medical emergency.
• General Subdirectorate of Epidemiology, Health Surveillance and Environmental Health of the Department of Universal Health and Public Health.

A4.- For the fulfillment of legal duties of collaboration:

• Security Forces and Corps, Public Prosecutor's Office, judges and courts and Independent authorities performing their tasks.

A5.- For the provision of services at the Universitat de València:

• ADEIT. Fundació Universitat Empresa of the University of Valencia.
• General Foundation of the Universitat de València.
• Banco de Santander.
• CASVA SEGURIDAD.

B.-Data communications with prior consent of the interested party (art 11.1 Organic Law 15/1999 of December 13, Protection of Personal Data).
B1.-General.

• Companies, foundations and entities that pursue management, promotion and implementation purposes of voluntary practices.
• Companies, foundations and entities that pursue promotion of occupation or professional insertion purposes with the express consent of the owner.
• Departments, research institutes, research units and teaching and research staff of the Universitat de València for the realisation of studies and scientific research with the express consent of the holder.
• Companies, foundations and entities that offer advantages and discounts for members of the university community through agreements with third parties that require validating the student status of the beneficiary at their request.

B2.-"ENTREIGUALS" PROGRAMME

"Entreiguals" is a university mentoring program through which new students are contacted with higher courses students (mentors). If you have consented to the transfer of your data to this program we inform you of the following:

• You will be included in the program only if you request it directly from a mentor, or by confirming through the virtual secretariat.
• Your data (name, surname and email) will be used by mentors in order to get in touch with you. The Universitat de València is not responsible for any additional data (E.g.: Telephone) that was provided to mentors.
• At the end of the program you will be asked to prepare questionnaires to evaluate the programme and the mentors, guaranteeing their anonymity.

C.-For the processing of electronic administration procedures.

Communication with other administrations, such as, for example, the Spanish of Tax Administration Agency or those competent in matters of social welfare, to obtain personal information for the registration process.

5.- Data conservation period

The Universitat de València keeps academic data for the integration and accreditation of the academic record without time limit, unless the law provides otherwise.

In the rest of cases, such as the issuance of cards, the confirmation of a datum in consumer agreements, and in general all voluntary data in this document, data will be processed for the essential time and kept a minimum of three years in terms of the prescription of legal responsibilities:

6.- Exercise of rights

Rights of access, rectification, deletion, limitation of processing, opposition to their processing, as well as the right to data portability may be exercised by sending an email to lopd@uv.es sent from official email addresses of the University of Valencia (@alumni.uv.es), or by written text, accompanied by a copy of an identity document and, when applicable, documentation accrediting the application, addressed to the Data Protection Delegate.

7.- Right to file a claim before a control authority.

The University of Valencia offers a friendly resolution of conflicts in terms of data protection and new technologies, which can be requested at lopd@uv.es, indicating in the subject "friendly resolution of data controversies" and explaining the content of the conflict, all of them without prejudice of the right to claim before the control authority.
